The agency works with the collection, processing, analysis and dissemination of official statistical data for use in public administration, research etc. The Agency collects data from companies and authorities and link public records to compile and produce statistical information and publications. It goes without saying that the data and work carried out is under strict legislation for confidentiality both for the organization as well as the individual employee.

Challenge

The organization was in the process of replacing older printers and copiers with new multifunction machines. The statistics authority was also interested in a solution to increase security for document management and handling of confidential information, as any breach of confidentiality could have legal consequences. The implementation of proximity cards would solve those security issues.

Solution

The institute’s new Xerox printer fleet is a pure color solution, and compared to previously, the number of units have been reduced from a multi-vendor mix of 50 printers and copiers to 26 Xerox WorkCentre 7345 multi-function printers.
The SafeCom Pull Print solution was chosen, because it allows users to securely print on any Xerox multifunction device throughout the building. Proximity readers are built into the SafeCom front-end with a touch-screen. With SafeCom Pull Print installed, the expectation is that the consumption of paper and toner will be reduced and waste eliminated in the form of fewer unclaimed printouts. As a side benefit, the pigeonhole shelving has been removed from print rooms, so there is now more space. The company’s new proximity cards already used for building access are now also utilized for user authentication, to obtain their print job at the WorkCentre device.

By combining the Xerox WorkCentre 7345 with the solutions that were implemented, the company will be able to increase efficiency and security.
The reduction of the printer fleet will in itself result in savings, and they will be even higher due to the SafeCom solution. In addition to increasing efficiency, security was increased. When the users are logged in at the printer they have full control, which avoids the need for users to rush to the printer every time they print.
