The Challenge:
In conjunction with the construction of a new regional office, a large financial company was sourcing a new fleet of more than 130 multifunction printers and seeking an integrated print management solution. The investment and solution needed to jointly provide security and operational efficiency (cost reduction), while also supporting and maintaining the corporation’s ambitious sustainability goals. Additionally, the solution needed to allow for “roaming” in support of printing across servers, departments and locations.
The Solution:
The Xerox WorkCentre 7665 was selected, along with the SafeCom Go Xerox embedded solution. SafeCom Go Xerox is the embedded solution for the Xerox WorkCentre devices with Extensible Interface Platform (EIP) technology. As with all Xerox EIP solutions, SafeCom is able to integrate with the touch screen on the Xerox device. In this instance, it enables user code authentication and a card reader can then be attached for an additional layer of authentication by card.
SafeCom provided several other solutions, including the SafeCom Pull Print application, SafeCom Tracking and SafeCom Encryption. The SafeCom Pull Print application provided the necessary privacy and security by enabling employee authentication using proximity cards at the device. When employees are visiting other locations, they are simply issued a guest card and can then print as usual. SafeCom Tracking was chosen to provide the managers with an overview of print activities and costs by user. Lastly, the SafeCom Encryption solution protects print data on the network from the moment the user clicks “print” on the computer and until the document is collected at the printer.
For mainframe batch printing they are using Push Print; however, when printing from SAP and similar applications the print job is normally associated with a generic user logon rather than the logon of the real user. Fortunately, the SafeCom feature, “Job Data Logon,” makes it possible to extract user logon names from the data stream itself so they can offer Pull Printing from print data originating from mainframe applications.
The Results:
By combining the Xerox WorkCentre 7665 with the solutions that were implemented, the company was able to increase efficiency and security, while also adding the ability to track costs.
With the choice of using cost-effective workgroup printers instead of many personal printers, office space was freed up and floor plans were designed more freely. This allows documents to follow users to their choice of printer and if one printer goes out of order, users can just collect their document at another SafeCom-enabled printer.
In addition to increasing efficiency, security was increased. There is no longer any risk of confidential documents lying scattered around the printer uncollected and when the users are logged in at the printer they have full control, which avoids the need for users to rush to the printer every time they print. For special jobs, there is even time to load stationeries, transparencies, labels or other media that may require manual feed.
